ARTIFICIAL INTELLIGENCE (AI) POLICY

Artificial Intelligence (AI) Policy

  1. Purpose and Scope

Jurnal SIMETRIK (Sipil, Mesin, Listrik), published by Pusat Penelitian dan Pengabdian kepada Masyarakat (P3M), Politeknik Negeri Ambon, recognizes that Artificial Intelligence (AI) tools can support academic writing, research, data analysis, and the preparation of scholarly publications.

This policy establishes principles for the responsible, transparent, and ethical use of AI tools in the preparation, evaluation, and publication of manuscripts. It applies to authors, editors, and peer reviewers involved in the journal's publishing process.

  1. Use of AI Tools by Authors

Authors may use AI tools to support specific tasks, such as language improvement, grammar correction, text editing, and other appropriate research-related activities, provided that their use does not compromise the originality, accuracy, validity, or integrity of the manuscript.

Authors must critically review and verify all AI-generated or AI-assisted content before submitting their manuscripts. AI tools must not replace the authors' own scholarly judgment, critical thinking, research expertise, or responsibility for the research.

Authors must not use AI tools to fabricate or falsify research data, experimental results, references, citations, images, or other evidence. Any use of AI must comply with applicable research ethics, copyright requirements, data protection principles, and the journal's publication ethics.

  1. Disclosure of AI Use

Authors must disclose the use of generative AI tools when such tools have contributed to substantive aspects of manuscript preparation or research, including the generation or substantial revision of text, the creation of images or figures, or the collection, processing, analysis, or interpretation of data.

The disclosure should identify the AI tool used, explain its purpose, and describe how it contributed to the manuscript. This information should be included in the Methods section, Acknowledgements, or another appropriate section, depending on the nature of the AI-assisted work.

Routine spelling, grammar, and language correction that does not substantially generate or alter scholarly content may be exempt from formal disclosure, subject to the journal's editorial requirements.

Failure to disclose material AI use, or the inappropriate use of AI that compromises research integrity, may result in a request for clarification, manuscript revision, rejection, or other appropriate editorial action.

  1. AI Tools Cannot Be Listed as Authors

AI tools, including chatbots and large language models, cannot be listed as authors or co-authors of manuscripts submitted to Jurnal SIMETRIK.

Authorship requires intellectual contribution, accountability, and the ability to take responsibility for the published work. These responsibilities must remain with the human authors.

Authors are fully responsible for the accuracy, originality, integrity, and reliability of all content submitted for publication, including content generated or assisted by AI tools.

  1. Responsibilities of Authors

Authors who use AI tools must:

  1. Ensure that all information, facts, calculations, references, citations, and research findings are accurate and verifiable.
  2. Review and validate all AI-generated content before including it in a manuscript.
  3. Disclose relevant AI use transparently and accurately.
  4. Ensure that the manuscript represents original scholarly work and does not infringe copyright or other intellectual property rights.
  5. Protect confidential, personal, and sensitive research information when using AI tools.
  6. Accept full responsibility for the submitted manuscript and comply with the journal's editorial policies and publication ethics.
  1. AI Use by Editors

Editors may use appropriate technological tools to support administrative or editorial tasks, provided that such use does not compromise confidentiality, impartiality, or editorial independence.

Editors must not upload confidential manuscripts, reviewer reports, or unpublished research information to public or third-party AI tools when doing so could expose confidential information or violate data protection requirements.

Editorial decisions must remain under human control and must be based on the manuscript's scholarly quality, relevance, originality, validity, and compliance with the journal's policies. AI-generated recommendations must not replace the editor's professional judgment.

  1. AI Use by Peer Reviewers

Peer reviewers must maintain the confidentiality of all manuscripts and review materials assigned to them.

Reviewers must not upload unpublished manuscripts, figures, datasets, or confidential review documents to AI tools or services that are not authorized to handle such information.

AI tools must not replace the reviewer's independent scholarly assessment. Reviewers remain responsible for the accuracy, fairness, originality, and confidentiality of their review reports. Any AI assistance must comply with the journal's instructions and must not compromise the integrity of the peer-review process.

  1. Verification, Research Integrity, and Editorial Assessment

Jurnal SIMETRIK reserves the right to request clarification or additional information concerning the use of AI tools when necessary to assess the originality, accuracy, research integrity, or ethical compliance of a submitted manuscript.

AI-detection tools, if used, should not be treated as the sole basis for determining misconduct because their results may be inaccurate or inconclusive. Any concerns should be evaluated carefully by the editorial team using relevant evidence and appropriate editorial procedures.

Where inappropriate AI use or undisclosed material AI assistance is identified, the journal may request corrections, additional disclosure, or other appropriate action in accordance with its publication ethics policies.

  1. Policy Review

Jurnal SIMETRIK recognizes that AI technologies and scholarly publishing standards continue to evolve. This policy may therefore be reviewed and updated when necessary to reflect developments in research ethics, publication practices, and relevant professional guidance.

Authors, editors, and reviewers are expected to follow the latest version of this policy published on the journal's official website.

  1. Final Statement

Jurnal SIMETRIK supports the responsible use of AI as an assisting technology while upholding human accountability, research integrity, transparency, confidentiality, and scholarly independence. AI tools may assist the research and publication process, but they must not replace the responsibility and ethical judgment of authors, editors, or peer reviewers.
